5 important steps to organize business processes

Having good business processes can be a great advantage in the marketplace - after all, when they are well defined, they help optimise productivity, profitability and reduce the number of internal errors. But how to organise them?

1. Assess current performance

  • sales conversion rates.

2. Eliminate bottlenecks

A bottleneck is anything that hinders optimal process performance. Imagine the sales process, from service at the reception desk to the issuing of the e-invoice. What could be hindering the results?

Among the main possibilities, it is possible to highlight the lack of training of professionals, malfunctioning software and lack of stock control. These weaknesses must be eliminated or neutralised, ensuring that the process flows.

3. Develop a flow chart

Have you heard of a flowchart? It is the graphical representation of a process, a visual display of the step-by-step process to be followed. It is made up of geometric figures (circles, triangles, etc.), lines and text to express the meaning of events.

It is not necessary to define a flow chart for every process that exists. Focus on those that generate the most value for the company. This representation can be done in Excel, but it is best to use a specific system for this. Then share with the team.

4. Optimise internal communication

Communication plays a major role in the smooth flow of processes. When there is no dialogue, it is common that the number of errors increases, interpersonal conflicts arise and daily activities become less efficient. This is why it must be continuously improved.

Implementing new communication channels can help a lot. Message boards, mobile apps and corporate TVs can be highlighted. Even more important, however, is the commitment of the company's leadership to the issue.

5. Implement modern systems

Nowadays, it is almost impossible to imagine the functioning of companies without good business management systems. They ensure the issuing of invoices, registration of customers, monitoring of key indicators, and so on.

However, there is a need for new solutions. One of the main ones is the use of cloud software, which can be accessed from anywhere and via mobile devices (laptop, tablet, etc.). In this way, it is possible to have remote access to customer data and other desired information. Much more functional.
